A mid-afternoon call for a delivery to a site that stops receiving soon after may not be possible, and we would rather say so straight away than leave you waiting.

  4. The temperature it must be carried at — chilled or frozen, and the set point if your product has a specification.
  5. Quantity — number of pallets or cartons, and whether pallets are full height.

  7. When it is ready — the earliest time a driver can load, not the time you hope it will be packed.

Why the product must already be at temperature

A refrigerated vehicle is built to hold product at the temperature it was loaded at. It is not designed to pull warm product down. The Australian Cold Chain Guidelines published by the AFGC are clear on this: product must be at temperature before loading, and the vehicle should be pre-chilled first.

For an urgent job that means two things. Keep the product in your cool room or freezer until the driver arrives, not stacked on the dock. And if the product has already warmed, tell us when you call. We probe and record product temperature at pickup, so it will show up anyway, and the receiver can reject chilled food that arrives above 5°C.

Scheduled freight is cheaper because one vehicle carries several customers' loads along a planned route. A same-day job breaks that pattern. Either a vehicle is diverted from its plan, or one is dedicated to your freight alone and may return empty.

So the price reflects the vehicle size, the distance, the time of day, waiting time at either end and whether the vehicle has to be sent out just for you.   • Set up a standing schedule. If you move chilled or frozen freight every week, a regular run usually costs less per delivery than a string of urgent ones, and it is planned in advance.
  • Book as soon as you know. Even a day of notice gives dispatch a choice of vehicles and times.
  • Agree a backup plan for equipment failure. Know in advance where stock would go if your cool room stopped, and who you would call.
  • Check orders before the truck arrives. Many urgent re-deliveries start with a pallet that was not ready or was labelled for the wrong site.
  • Keep your details on file. Addresses, access notes and receiving hours sent once make the next urgent call much shorter.
